Managing your team

This guide is for agency accounts. Direct landlords do not have an organisation team or branch roles; they manage their own account from Account profile and preferences.

Only an organisation Owner or Admin can open Organisation > People, invite colleagues, change roles or remove a member.

What each role can do

Choose the smallest role that gives somebody the access they need:

  • Owner has full control of the organisation, including ownership and billing. An organisation can have more than one Owner.
  • Admin can see the whole organisation and manage people, branches, organisation settings, contractors, branding and integrations. Admins do not own the account.
  • Member can work with properties, tenants and reports in their accessible branches, as well as unassigned organisation properties. Members can also maintain the contractor directory, but cannot change organisation administration.
  • Viewer has read-only access to their accessible branches and unassigned organisation properties. They cannot change properties, tenants, reports, notes or attachments.

An Owner or Admin sees the full organisation. A Member or Viewer sees branches they have joined or manage, plus properties that have not been assigned to a branch.

Note: Branch access narrows what Members and Viewers can see. It does not limit Owners or Admins.

Invite a colleague

  1. Open Organisation > People.
  2. Check Team overview for your total members, seat limit and available seats.
  3. Select Invite member.
  4. In Invite team member, enter their Email Address.
  5. Choose Viewer, Member or Admin under Role. An Owner can also choose Owner.
  6. Select Send invite.

The invitation is sent to the address you entered. A new invitation cannot be sent if the organisation has no available seats.

Only an Owner sees the Owner choice in the People page. Give it only to somebody trusted with full organisation and billing control.

Find or review a member

Use Search members... to search by name or email address. The table shows each person's name, email, role and branch access. No branches means a Member or Viewer can still see unassigned organisation properties, but not a branch portfolio.

If somebody should work with a particular office, add them from that branch's Team members section. See Managing your branches.

Change a role

  1. Open Organisation > People.
  2. Find the person in the members table.
  3. Open their role control.
  4. Choose the new role and confirm the change.

Changing a role takes effect across the organisation. Before reducing an Admin to Member or Viewer, make sure their branch memberships cover the properties they still need.

Only an Owner can choose the Owner role in the People page. If you are the organisation's only Owner, Lettie will not let you reduce your own role. Promote another trusted member to Owner first.

Remove a team member

  1. Open Organisation > People and find the person.
  2. Open the member actions and choose Remove team member.
  3. Read the confirmation, then confirm the removal.

The person loses access to the organisation, its properties and its data. Their historic work is not removed.

If you are the organisation's only Owner, Lettie will not let you remove yourself. Promote another trusted member to Owner first. The same safeguard means an Owner can delete their own account only while another Owner exists.

If you only need to reduce somebody's access, change their role or branch membership instead.

Keep access tidy

Review People whenever somebody joins, changes office or leaves. In particular:

  • use Viewer when somebody only needs to check information;
  • give Members access only to the branches they work with;
  • keep at least one active Owner and a trusted Admin, and consider a second Owner before the first needs to leave; and
  • remove old accounts rather than sharing sign-in details.

Organisation notification routing is separate from access. Owners and Admins can decide who receives report emails under Organisation settings and notifications.
