Managing your branches

This guide is for agency accounts. Branches group an agency's properties and control which parts of the portfolio Members and Viewers can access. Direct landlords use one portfolio and do not need branches.

Only an organisation Owner or Admin can create, edit or delete branches and manage branch membership.

Create a branch

  1. Open Organisation > Branches.
  2. Select Create branch.
  3. In Create Branch, enter the Branch Name.
  4. Add an Address. Start typing and choose the correct result.
  5. Optionally choose a Manager.
  6. Select Create Branch.

The new branch appears in the branch list. A branch manager is still governed by their organisation role: assigning a Manager does not turn a Member into an Admin.

Find and open a branch

Use Search name, address, manager... to narrow the list. The table shows the branch's name, address, property count, member count and manager.

Select a row, or use View branch from its actions, to open the branch. Copy address copies its saved address without opening it.

Edit branch details

  1. Open the branch.
  2. Select Edit.
  3. Change the Branch Name, Address or Manager. Choose No manager if the branch should not have one.
  4. Select Save Changes.

These details help people identify the office. They do not move properties or members automatically.

Add a team member

  1. Open the branch and find Team members.
  2. Select Add.
  3. In Add Team Member, choose a person under Select a member.
  4. Select Add Member.

Members and Viewers can work only with branches they have joined or manage, plus unassigned organisation properties. Owners and Admins can see every branch regardless of membership.

To remove somebody from a branch, use their action in Team members. This removes branch access; it does not remove their organisation account. To remove the account entirely, use Managing your team.

Assign properties to a branch

Assign a property from its property details. Once assigned, the property follows that branch's access scope and can use its branch knowledge and branch-level repair policy.

Leaving a property unassigned makes it visible to every organisation role. This is useful while reorganising a portfolio, but should not be used as a substitute for deliberate branch access.

Add branch knowledge

Branch knowledge holds information that applies across one office, such as local emergency contacts and practical notes.

  1. Open the branch.
  2. Find Branch knowledge.
  3. Add or update the relevant contacts and notes.
  4. Select Save branch knowledge.

Lettie combines branch knowledge with organisation defaults and more specific property knowledge. Property information takes precedence where the same contact type or item is supplied. See What Lettie knows for the full order.

Delete a branch

  1. Open the branch.
  2. Select Delete.
  3. Read the Delete Branch confirmation carefully.
  4. Select Delete Branch to continue.

Deleting a branch cannot be undone. Its properties are unassigned, not deleted, and their underlying property, tenant and report records remain in the organisation.

Because unassigned properties are visible across the organisation, reassign them promptly if their access should stay limited.
