Account profile and preferences

Every user can manage their own profile and notification preferences. Open the avatar menu and choose Profile. The page itself is titled Settings with the subtitle Account & preferences.

Your organisation role affects agency administration, but it does not stop you updating your own details.

Update your profile

Under your profile details you can edit:

  • name;
  • telephone number; and
  • company.

Your email address is read-only. If it is wrong, follow the account support route rather than creating a second account.

To save ordinary changes:

  1. edit the relevant fields;
  2. review the values; and
  3. select Save changes.

Use Discard to abandon unsaved edits.

Verify a changed telephone number

A new telephone number must be verified:

  1. enter the new number;
  2. select Verify;
  3. enter the six-digit code sent to that number; and
  4. select Save changes after verification succeeds.

Do not share the verification code. If it does not arrive, check the country code and telephone number before requesting another.

Changing your personal number does not change an agency contractor number, organisation out-of-hours number or tenant WhatsApp number.

Understand agency details

For an agency user, the organisation details on this page are read-only. Owners and Admins make organisation-wide changes under Organisation, not by editing a personal profile.

For a direct landlord, the page shows that the account is not part of an agency. Direct landlords manage their own portfolio rather than agency branches and roles.

Choose personal notification channels

Under Notification preferences, choose one of:

  • Alerts by email and WhatsApp
  • Alerts by email
  • Alerts by WhatsApp

You can also choose whether to receive Product updates & tips. Select Save preferences when finished.

These are your individual channel choices. On an agency account, organisation report routing is separate:

  • Owners and Admins decide who is told about new reports, central inbox routing and tenant update email rules under Organisation settings and notifications.
  • Your personal preference does not subscribe another colleague or change the central inbox.
  • An organisation routing rule cannot give you access to a property outside your role and branch scope.

Manage knowledge in the right place

A direct landlord sees Portfolio knowledge on this settings page. Use it for information that applies across your properties, with property knowledge for exceptions.

Agency users do not use personal portfolio knowledge. Agency Owners and Admins maintain Organisation knowledge, while branch and property knowledge provide more specific information.

Set direct-landlord electrical referral checks

Direct landlords also see Require safe electrical isolation checks before referral inside Portfolio knowledge.

When it is enabled, Lettie asks about safe appliance isolation and checks inventory or tenancy-term responsibility before referring a routine circuit trip to you. A safety concern or an access problem still refers immediately.

  1. Open Portfolio knowledge.
  2. Select Require safe electrical isolation checks before referral.
  3. Review the contacts and notes saved alongside it.
  4. Select Save portfolio knowledge.

The save action stores the checkbox together with your portfolio knowledge. Agency users do not see this personal setting; an agency Owner or Admin controls the equivalent organisation default under Organisation settings and notifications.

Review Account and Usage

The Account card shows the plan, status and English (UK) language setting.

For an agency account:

  • the plan is shown as Enterprise and managed by the organisation;
  • only the organisation Owner sees Manage billing; and
  • Admins, Members and Viewers can review their account information without receiving the Owner's billing control.

For a direct landlord, the card shows the live landlord plan and price status. A paid plan can also show its billing cycle, cancellation date and Manage subscription.

On the current self-serve landlord plan, the first four active properties are free. Properties 5 to 24 cost £2.50 each per month when activated. Use View property pricing to review the live billing position before activating another property. A portfolio above the self-serve limit needs a sales-assisted plan; legacy accounts keep their own plan label.

The Usage card shows:

  • the number of properties in your accessible portfolio;
  • Team members and seat use on an agency account; and
  • total tenants across those properties, with the agency's per-property limit where one applies.

For a direct landlord, the property usage bar is measured against the 24-property self-serve limit. For an agency Member or Viewer, the property count follows branch access; it does not grant visibility of the rest of the organisation.

Billing does not change a tenant's access to the shared portal by itself.

Take or resume the direct-landlord tour

Direct landlords see Help on this page.

  • With an active property, select Take the Lettie tour to open the guided tour using that saved property.
  • If property setup was interrupted, use Resume property setup rather than adding the property again.
  • If the tour itself was paused, the setup centre offers Resume tour. After completion it offers Restart tour.

The Help action may instead direct you to add your first property, review an activation status or open Properties when the saved record cannot be loaded. Follow that recovery action so an existing property is not duplicated.

Sign out and delete your account

Danger zone shows Sign out of all devices with the description Ends all active sessions.

Current limitation: The current profile screen displays this control but does not attach an action to it, so do not rely on it to revoke other sessions.

To delete a direct landlord account:

  1. Select Delete account.
  2. In Delete Account, enter the email address shown on your profile.
  3. Select Confirm delete account.

This permanently removes the account and its related data, then signs you out. It cannot be undone.

Agency role rules prevent an unsafe self-deletion:

  • an Admin, Member or Viewer cannot delete their account while they remain an organisation member; an Owner or Admin must remove them under Organisation > People first; and
  • the only Owner cannot delete their account until another member has been promoted to Owner.

Removing a colleague from an organisation is different from deleting their personal account. It ends their organisation access without erasing the organisation's historic records.
