Importing Properties via Spreadsheet

Use Add multiple when you need to create several property records. The importer validates each row before saving it and keeps progress if the import is interrupted.

An organisation Viewer cannot import. In an organisation with branches, prepare the branch names before building the spreadsheet so properties are assigned correctly.

1. Choose an import method

Open Properties and select Add multiple. Choose one of the two methods.

Paste addresses

Choose Paste addresses for a quick property-only import.

Enter one full address per line. To give a property a separate display name, use this format:

Property name | Full address

Select Review properties. This method is useful for a simple address list, but it does not include tenant or tenancy details.

Upload spreadsheet

Choose Upload spreadsheet when you need profile, tenancy or tenant information.

  1. Select Download template.
  2. Open the workbook and read the Instructions sheet.
  3. Complete the Properties sheet and delete the sample row.
  4. Save the workbook as an Excel .xlsx or .xls file.
  5. Drag it into Lettie, or select Browse files.

Use Lettie's current template rather than an old copy, as the available fields and checks may have changed.

2. Complete the spreadsheet safely

Property Name and Property Address are required. Postcode and UPRN are strongly recommended because they improve official property matching.

The template also supports:

  • property type, bedrooms, occupancy, HMO and gas supply;
  • tenancy status, dates, type, rent and furnished status;
  • deposit amount, scheme, reference and protected date; and
  • tenant name, phone, email, contact preference, language and welcome permission.

A tenant needs both a name and mobile number. Lettie normalises UK numbers and flags a number already used by another tenant, so fix duplicate or shared-number rows before importing.

For Welcome WhatsApp Permission, enter Yes only where that individual has agreed to receive Lettie's one maintenance welcome. No or a blank cell saves the tenant without sending a message. Each tenant column has its own permission; never apply one person's answer to the whole household.

Direct landlord spreadsheet

There is no Branch column for a direct landlord. All imported properties belong to that landlord's portfolio. Activation is assessed against the four free active properties and the 24-property self-service limit after validation.

Organisation spreadsheet

If the organisation has branches, the downloaded template includes Branch. Enter the branch name exactly as it appears in Lettie. A spelling difference cannot be safely guessed and will be flagged for review.

Organisation property, seat and tenant limits follow its agreement. The direct landlord free-property pricing does not apply. Owners and Admins can see all branches; a branch-restricted Member can work only within their permitted scope.

3. Review validation

After Lettie reads the file, review these totals:

  • Total rows — every data row found;
  • Ready — rows that can be imported as entered;
  • Fix — rows with errors that will be skipped; and
  • Check — rows with warnings that can still be imported.

Open a row to see the exact error or warning. Correct a Fix row in the review screen and validate it again, or use Download rows to fix and prepare a corrected workbook. Warnings do not block the import, but review them rather than accepting uncertain addresses, branches or tenant details.

Select Import [number] ready properties when the ready and check rows are correct. Fix rows are not attempted.

4. Understand the result

The importer saves progress as it works. One failed row does not cancel the successful rows, and an interrupted import can be resumed. The result is headed Properties added, Some properties need attention or No properties imported. Retry only the failed rows so that you do not create duplicates.

Direct landlord result and activation

Available free slots can be activated without a card. Properties that would take the account into paid self-service are saved waiting for billing, and properties beyond the self-service limit are saved for a sales-assisted decision. No additional property is secretly charged because it appeared in the spreadsheet.

Direct landlords may then see Add documents to imported properties. Upload portfolio files and match them to the correct property. Confirm every match; an incorrect match puts the record in the wrong compliance history. You can return later through the property and Compliance pages.

Organisation result

Organisation imports continue back to Properties. They do not enter the direct landlord document-capture or per-property activation journey. Open each property to add or review its documents, landlord contact and property knowledge.
